Add and manage employee records
Employee records combine core details, Indian statutory identity fields, bank accounts and nominees - and your company chooses which fields are collected.
Every employee in INDpayroll has one core record covering their account and employment details, alongside a set of related records: bank accounts, nominees, documents, and (where applicable) visa details.
Core fields, always on
Employee ID, name, email, and joining date are required for every employee record and can't be turned off.
Configurable identity and statutory fields
Beyond the core fields, INDpayroll lets each company choose which additional fields it actually collects, rather than forcing every field on every company. An administrator turns fields on or off; enforcement applies wherever the field is used, not just on the form.
| Section | Fields | On by default |
|---|---|---|
| Identity | PAN, Aadhaar, Voter ID, Father/Husband name | No |
| Statutory | PF number, PF joining date, EPS number, EPS joining date, UAN, ESI IP number, ESI dispensary, ESI coverage-end date, exit type | No |
| Bank | One or more bank accounts per employee | No |
| Nominees | One or more nominees, each with their own PAN, Aadhaar and bank details | No |
| Other | Documents, visa details | No |
Multiple bank accounts and nominees
An employee can have more than one bank account and more than one nominee on file - these aren't single-value fields, so you're not limited to recording only the most recent one.
FAQ
Yes. CSV import is the fastest way to bring over an existing team, and it's how most companies get set up in under 5 minutes. You can also add employees manually one at a time if you prefer.
No. You can explore the product, add employees and run a payroll calculation without entering bank details. You'll only need to add bank account information before an actual salary payout goes out, so employees can reconcile the credit against their bank statement.
This is an admin-level setting, controlled by a dedicated form-configuration permission - it's not something an individual employee or a standard user role can change.
Yes - each field is switched on independently, so you enable only the statutory identifiers relevant to your company.
Best Practices
- Double-check statutory IDs and bank details to avoid salary and compliance issues.
- Maintain reporting hierarchy correctly for approval workflows.
